Prepared for Colliers

Halo employer demonstration

How Halo works for Colliers.

A practical walkthrough of the three areas Colliers would manage as an employer: administration, finance, and governance and compliance.

Who’s involved

Four parties, one partnership.

  • Employer Colliers
  • Employee A Colliers parent
  • Nursery The child’s nursery
Halo The compliance platform supporting all three
Halo supports the employer, employee and nursery through the setup, management and evidence required for a workplace nursery arrangement.

Who does what

Your role in running Halo

Halo coordinates the workplace nursery partnership, while your organisation retains several important administrative, financial and governance responsibilities.

01 · Administration

Set up and support your employees

Invite employees, support them through setup and approve the arrangements they create.

Your responsibilities

  • Invite employees to Halo.
  • Help employees understand the arrangement process.
  • Review and approve arrangements created by employees.
  • Keep employee and company information up to date.
  • Complete any actions shown in the employer portal.

Good to knowThe employee creates their own arrangement by adding their child and nursery. The employer reviews and approves it.

02 · Finance

Run payroll and manage the payments

Apply the agreed salary sacrifice through payroll, check nursery invoices and oversee nursery payments and Halo’s service fee.

Your responsibilities

  • Apply the agreed annual salary sacrifice in your payroll software from the arrangement’s effective date.
  • Check that the reduced salary continues to be used in subsequent payroll runs.
  • Reconcile each nursery invoice against the employee’s approved monthly contribution.
  • Ensure the nursery fee, monthly contribution and Halo service fee are aligned.
  • Review the monthly Halo invoice before the service fee is collected by Direct Debit.
  • Confirm that nursery payments have been completed and recorded.

Nursery paymentsYour organisation can pay nurseries directly or use Halo’s optional payment support. Both routes are explained in the monthly finance routine.

03 · Governance & compliance

Monitor the evidence and support participation

Support employees in participating as representatives of the organisation and review the aggregated evidence in the employer portal.

Your responsibilities

  • Review the aggregated governance evidence in the employer portal.
  • Support employees in contributing to relevant Family Circle activity as representatives of the organisation.
  • Support employees in attending a Family Circle meeting when the nursery identifies that one is required.
  • Retain and review the evidence available through the employer portal.

Where the boundary sitsThe nursery manages Family Circle and determines whether further engagement or a meeting is required. The employer sees aggregated evidence rather than private Family Circle activity.

    How nursery payments are made

There are two ways to manage nursery payments.

The walkthrough above demonstrates Option A, which is the typical employer-managed process. If Option B would be more suitable for Colliers, we can discuss the payment flow and provide an estimated cost.

    Option A Typical employer-managed process

    Colliers pays each nursery

Colliers checks each nursery invoice against the corresponding active arrangement and pays the nursery through its usual finance process.

The monthly walkthrough demonstrates the payroll, reconciliation and payment tasks involved in this option.

    Option B Halo-managed payments

    Halo manages the nursery payments

Halo is already set up to manage nursery payments through Stripe.

Colliers confirms the approved arrangements and payment amounts, and Halo manages the individual payments to participating nurseries on Colliers’ behalf.

    Cost of Halo-managed payments

Halo does not charge an additional service fee for running this payment process. Colliers would only pay the applicable Stripe transaction fees, which depend on the number and value of payments processed.

If this option is of interest, Halo can explain the full payment and reconciliation process and provide an estimated monthly transaction cost based on Colliers’ expected number of arrangements.

In either option, Colliers retains oversight of the approved arrangements, payroll changes and nursery-payment amounts.

    Illustrative example

    How one arrangement might look

Figures are for illustration only. Every employee’s salary, sacrifice and nursery fee is set by their own arrangement.

    Employee salary before sacrifice
    £50,000
    Monthly salary sacrifice
    £1,000
    Annual salary sacrifice
    £12,000
    Revised annual salary
    £38,000
    Agreed nursery payment
    £1,000 per month

    3 — Governance and compliance

    Governance and employer responsibilities.

    How governance works

    1. Stage 1

      Nursery manages

Chooses its Family Circle edition and manages Feed activity, meetings and governance records.

    2. Stage 2

      Employees participate

Contribute as representatives of Colliers through the nursery’s chosen approach.

    3. Stage 3

      Colliers maintains oversight

Reviews the aggregated governance position and supports employees where further participation is needed.

Halo Halo and Family Circle organise the evidence and feed the aggregated position into the employer portal.

    Two editions for nurseries

    Full Edition

Includes the governance tools alongside wider communication and nursery-management features. It is designed to support nursery-family engagement and help nurseries improve the wider management of their setting.

    Governance Edition

A more focused edition that removes the wider communication and nursery-management tools while retaining the functionality needed to support and evidence governance.

The nursery selects the edition that best suits its setting. Parents and participating employees use the same edition selected by their nursery.

    Both editions support:

    • Asynchronous governance evidence through relevant Feed activity
    • Family Circle meetings
    • A combination of Feed activity and meetings

The nursery decides which approach works best for its setting.

    • Employees participate as representatives of Colliers.
    • Colliers supports employees where participation is required.
    • Halo organises the evidence and provides an aggregated employer view.

Colliers is not expected to attend the nursery’s Family Circle activity directly.

    4 — Discussion

    Discussion and next steps

You have now seen the three main areas involved in operating Halo as an employer: administration, finance, and governance and compliance.

Halo can provide any additional information needed following the demonstration. We can agree the most appropriate next step once Colliers has completed its initial review.
